A progress note is the care record of a visit: what support was given, how the client was, anything unusual, and what to follow up. In HarvestFlow Care it is written on the phone as the visit ends, saved as you type even without signal, finalised once and corrected in the open — and it is never printed on an invoice.
No card. No sales call. Progress notes are on every plan, including the free months.
Two records for one visit
When a visit is finished, the worker writes a short service summary — the account the client sees and signs. The progress note is a separate record, kept for the people who deliver the care.
- The service summary: what was delivered, when and for how long, signed by the client at check-out
- The progress note: the care record, not included in invoices, statements or client emails
- The participant is given their notes on request, as a PDF you export from their record
Written at the visit, in the shape a good note takes
As soon as the visit is marked complete, the app asks whether to write the note now. Write it there, or come back to it through Open note on the visit — nothing is lost by choosing later.

- Or one note: a single box for the whole account; switch between the two while it is a draft and nothing is lost
- A goal or purpose for the visit, and an outcome: progress, maintained, no change or setback
- The client, the date, the recorded times and the service are already at the top — nothing is copied across by hand
- Under a setting, a worker can read the client's last three finalised notes before going in
Saved as you type, signal or not
A note written in a client's hallway cannot depend on reception. Every word is kept on the phone as it is typed, and the line above the button says where it stands.
- With no signal the note reads Saved on this device — waiting to sync, and sends itself when a signal returns, even if it is never opened again
- Closing the note, reloading the app or an app update loses nothing
- An Unsynced drafts on this device card lists anything still waiting, with Open, Sync and Discard
- Signing out asks first when a draft has not reached the service yet
Finalised once, corrected in the open
Finalise makes the note read-only. From then on the note itself never changes: anything added sits beneath it with who added it, when, and the reason they gave.
- It shows when it was finalised, names a finaliser who is not its writer, and carries Late entry when it was finalised later than the day after the visit
- If the visit's date, times, service, client or worker changes afterwards, the note says what changed
- An addendum from the worker, a correction from the office, or a correction the participant asked for — each with a reason kept on the record
- A note written in error is kept and labelled, never deleted, and a new note can be written for the visit
- The office can hand a draft over when the person who started it has left
Every client's notes in one place, and a PDF on request
The Progress notes card on the client's record lists every note, newest first. When the participant, their representative or an auditor asks for the record, you export it — you never retype it.
- Filter by status — drafts, finalised, entered in error — and by the visit's date
- Export PDF: the client's finalised notes for the dates you choose, on your letterhead, headed Progress notes and marked Provided on request
- Every addition and every entered-in-error version is in it, labelled; drafts never are
- The file is named by a code and the dates, never by the client's name
- Reading and exporting other people's notes is a team feature you tick per role; a worker sign-in writes and reads its own
Optional, or required for every visit
Each workspace decides. Optional, the default, asks the question after every finished visit and leaves it there. Required means no visit is finished until its note is.
- Required: every finished visit waits on its note until it is finalised, or someone records No note required with a reason
- The worker sees Notes to complete on My Tasks — their own visits, oldest first, each Not started or Draft saved
- The office sees Notes outstanding on Appointments: date, client, service, worker, and who holds the draft
- Switching to Required never lists visits finished before the switch
A record you keep
A finalised note is a care record the standards ask you to hold on to, and the app treats it that way.
- A client with a finalised note cannot be deleted from the app
- A finished visit with a finalised note cannot be put back to scheduled — add a correction instead
- If a workspace closes, its notes are exported to you before anything is deleted; the duty to keep them stays with you, as the privacy policy says
Which plan it is on
Every plan, including the free months. Writing, finalising, corrections, the client card, the PDF export and the Optional or Required setting are the same on Basic, Pro and Dedicated — a delivered visit needs a note whatever you pay.
What it does not do
- It writes nothing for you. There is no AI drafting, no suggested wording and no summary — every word in a note is the worker's own
- It does not link a note to the care-plan goals yet. The goal or purpose is typed on the note, not picked from the plan
- It is not a clinical record system, a medication chart or an incident register. An incident or a hazard is its own record; the note is what the worker saw
- Notes are sent to nobody — not to plan managers, funders or the NDIA, and never on the family link. The participant receives their notes from you, on request
- The service summary the client signs is fixed once the visit is completed; the progress note is where the record grows
- The exported PDF is in English. Notes written in Chinese or Korean print correctly
