From a finished visit to an invoice

You record the visit once and the invoice is built from it, so nothing is typed twice and what you billed always matches what you did.

  • Invoice a whole month of completed visits in one go

Check it before it goes

Billing your visits creates a draft. Preview the PDF, change a line, or reprice it if a rate has moved since the visit. Nothing is numbered or sent until you issue it — and when you are sure, Issue now skips the draft altogether.

  • Preview the PDF before anyone else sees it
  • Reprice from your current rates — any figure you typed yourself is kept
  • Discard a draft you do not need; its visits stay ready to bill
  • The number is given when you issue it, so your invoice numbers have no gaps

Fix a mistake without starting again

Sent an invoice with the wrong rate or the wrong hours? While it is unpaid you can correct it in place. It keeps its number, the PDF says it was amended, and a record of every change stays with it.

  • Each change records who made it, when, and the reason you gave
  • Send the amended copy by email in one step
  • Once it has been paid, a credit note is the tool

Credit notes that say what they credit

When an invoice needs money back, or part of it was wrong, issue a credit note against the lines it corrects. It has its own PDF and its own email, and the invoice shows what has been credited against it.

  • Credit a whole line or part of one, never more than was charged

  • Once every line of a visit is fully credited, that visit can be billed again
  • Record the refund when you pay it

The proof goes with the invoice

Plan managers and funders ask for evidence. When you email an invoice raised from visits, the files attached to those visits go with it as one zip file, with a folder for each visit.

Paying contractors without chasing their invoices

If contractors deliver visits for you, you can write their invoices for them: a recipient-created tax invoice, or RCTI. Each one is built as a draft from the visits they completed, so you check it before it becomes theirs.

  • Self-billed invoices are generated as drafts from each contractor’s completed visits
  • Approving one gives it its number and locks those visits to it, so no visit is paid twice
  • It is emailed under your business’s name, and replies come to you
  • The contractor finds it in their own pay screen, and can open the PDF for their tax records
  • The RCTI agreement is signed in the app; we set up its template with you

Knowing what you are owed

Record payments as they arrive, and see who owes what and for how long.

  • Record each payment against its invoice
  • An aged receivables report: what is still outstanding, and how late
  • On Pro: client statements, and billing a participant’s co-payment separately from their funder

Everything a sole trader needs to bill their own clients is on Basic. Pro adds what you need once other people deliver visits for you, or once you manage a client’s funding.

What it does not do

  • It does not submit claims to the NDIA, on any plan. You claim in the provider portal as you do today
  • Your clients cannot pay an invoice by card through HarvestFlow; they pay you the way they do now
  • Invoices print in English. Client names and notes written in Chinese or Korean print correctly
  • It is not accounting software. Your books stay where you keep them today
