An assistant that works from your own records, and saves nothing until you confirm.
Books visits, finds cover, drafts invoices and answers questions from your own records. Nothing is saved until you confirm a card. Opened on request.
Names, phone numbers, emails, addresses and money figures read from the workspace's records are never sent to the AI model; it sees placeholders instead, and the real values are put back only on the coordinator's screen. Ask Harvi is the assistant inside HarvestFlow Care: type what you need in plain words, and it books, moves and cancels visits, finds cover, drafts invoices and answers questions from your own clients, services and agreements — then shows you a card to check before anything is saved.
Opened per workspace, on request. Not included in any plan, and not something a signup form can switch on.
What you can ask for
Everything below is done from your workspace's own records, the same way the ordinary screens do it, and each one ends in a card you confirm or cancel.
- Book a visit: "book Mrs Chen a two-hour personal care visit with Sarah next Tuesday at ten"
- Move a visit, change who goes, cancel one with a reason, or mark one done
- Find cover for a day, or finish yesterday's visits that were checked out but never finished
- Ask who is free, what is on this week, which visits have nobody, what you have not billed, who has unspent funds
- Ask about invoices: who owes you, what is overdue, what a client has been invoiced — the amounts stay on the card
- Draft an invoice from a client's completed visits, ready for you to check and issue in the Invoices tab
- Add a client or an organisation, add a service, or update someone's phone or email — the name, number and rate are typed on the card, never read from the chat
- Log a note or a call, or add a follow-up task with a day
- With Easy HR and Payables: see the hours waiting for approval, and approve or reject them — never a rate or an amount
- Ask it to remember something for you — "remember that Mrs Chen prefers mornings" — and it bears it in mind next time
Nothing changes without a card
Harvi never saves on its own. Anything that would change a record arrives as a confirm card listing exactly what will be saved, with the same warnings the ordinary form would show. You press Confirm, or you press Cancel.
- A card expires if it is left; after that nothing is saved and you simply ask again
- Every change saved from a card is marked "Ask Harvi" in the record's History, beside the name of the person who confirmed it
- A question — who is free, what is overdue — needs no card, because nothing is changed
- Under the message box it says so: "Harvi can make mistakes. Nothing is saved until you confirm it on a card."
What the owner can set
Harvi is useful on day one and better once the workspace owner has told it how the practice usually works. Six panels, all in the Ask Harvi header.
- Facts — the usual visit length, a length per service, and who usually goes to each client. Chosen from your own lists, never typed, never sent to the AI model; used only to suggest on a card
- Knowledge — your own policies in your own words: cancellations, what to bring, office hours, fees. When someone asks, Harvi shows your exact text on a card; it sees only the title and the kind
- Guidance — a tone (Plain, Warm or Brief) and up to a dozen word pairs, "participant" for "client". Words, never instructions
- Memory — each person's own short facts, kept for them alone, with a Forget button and an end date
- Try it — a checklist of things worth trying, ticked from your own last week
- Report — how Harvi is doing in this workspace: turns, tasks, what went wrong, and today's use against the daily limit. Counts only; never a name or a message
It starts the day with you
The Ask Harvi tab opens on the day at a glance — what is booked today and what needs attention, each visit openable — above the conversation. Switch it on as your home page and that is the first screen you see.
- At half past six each morning, a notification if any visit today or tomorrow has nobody to deliver it — open it in Ask Harvi and find cover
- And one if a visit yesterday was checked out but never finished — so nothing stays open and unbilled
- Both can be switched off in Alert settings; a notification comes back only when the set of visits changes
How Harvi keeps names and money private
The people and the money in your workspace never leave it. What reaches the AI model is the shape of the request, with placeholders where the names and figures were.
- When you type the name of someone already on file, it is replaced with a placeholder before the message is sent; phone numbers, emails, addresses and amounts you type are replaced the same way
- Money is never calculated by the AI: rates and totals come from the app, and people who cannot see charge rates in the app do not see them on a card either
- An invoice reaches the model as a count, a status and dates; a visit as a day; a worker's hours as a day and a number — never a name, a note, a rate or a total
- Nothing in the Facts panel is ever sent to the model, and a Knowledge entry's text is shown to you, never read by the model
- A memory stores the person it is about as a reference to their record, not as a name; deleting a client or worker removes every memory about them
- If Harvi cannot read your workspace's lists, it declines the message rather than send it
In English, Chinese or Korean
Harvi replies in the language the message was written in. Chinese and Korean input methods work as they should — Enter while a word is still being composed does not send. The labels on cards follow the app's language setting.
- "下周二上午十点给陈太太安排两小时" is understood the same way as the English
- Relative days — tomorrow, next Tuesday, 下周二 — are worked out in your workspace's own timezone
What Harvi does not do
- It saves nothing on its own. Only a Confirm on a card saves anything; if no card appeared, nothing changed
- It drafts an invoice but never issues, emails, corrects or credits one — that stays in the Invoices tab
- It never shows a rate, a cost or an amount for hours. Pay lives in Easy HR
- It does not write progress notes, and it does not read them
- It does not book shopping trips; it points you to the schedule, where the ordinary form settles what was paid and by whom
- It takes no free-text instructions. Guidance is a tone and a few words; nothing you write there can make it book, choose or fill in something you did not say in the message
- It never picks a day, a time, a length, a service or a unit you did not say. It asks instead
- It never calculates money, and it never states an amount in its own words — the card does
Getting it
Ask Harvi is not included in any plan, and there is no switch for it in your settings. We open it per workspace, on request, and we set a daily limit for it. It needs HarvestFlow Care with scheduling, and a sign-in that manages the schedule; on a shared workspace, your own workspace sign-in.
