What it does, in the order you meet it

Hire

Invite someone by who they are first, then give them a login. They confirm their own details, then fill in their tax declaration, bank account, super fund and emergency contact from their phone, one step at a time. Send the onboarding pack — your employment agreement and any other documents — and they sign in the app.

Know your staff

Start date, employment basis, agreed hours and classification sit on the worker card you already use for rosters and visits. Tax file numbers and bank account numbers are kept separately and masked.

Skills and qualifications

Tag people with the skills your practice cares about, and see verified qualifications — with their expiry dates — from the certificates they upload. One roster filter shows both, and never confuses a tag with a checked certificate.

Hours

Visits are costed as they happen. Training, meetings and travel are logged by the employee and approved by you. One timesheet per person shows both.

Pay runs

On your own pay period — weekly, fortnightly or monthly — prepare a pay run, check it, and download a file for your payroll system. Then mark it as entered in payroll.

Super

Record the payday, and each employee's estimated super is listed by fund, with a target date seven weekdays after payday. Mark each one sent to the clearing house, then received by the fund.

Your payroll system stays the official record

Single Touch Payroll has to be lodged from ATO-approved payroll software, and super has to reach the fund through SuperStream. Easy HR does neither, on purpose. It prepares what your payroll system needs and tracks what happened after.

  • A new-starter file with each employee's details, tax declaration, bank and super fund, so nothing is re-typed
  • A pay-run file on your pay period: hours, visits, rates and estimated amounts, with a plain-English column guide
  • Every figure is marked as an estimate. Your payroll system calculates tax, net pay and the official payslip
  • Mark a run as entered in payroll with its reference, so the next person can see what was done

Tax file numbers, handled like tax file numbers

  • Tax file numbers and bank account numbers are encrypted one field at a time, with a key kept outside the database
  • They are masked everywhere. Showing one is a deliberate step, and each one is logged with who and when before it is shown
  • Only the practice owner can see them
  • Workspace data exports leave them out
  • When a former employee's tax file number is due for destruction, the tax details review tells you, and removing it is one step

Contractors too

A contractor's onboarding has no tax, super or bank steps — just their details, an emergency contact and a signed contractor agreement. Their visits are paid through self-billed invoices, as they are today.

What Easy HR does not do

  • No payroll. It does not withhold tax, calculate net pay, lodge Single Touch Payroll or issue the official payslip
  • It does not pay super or connect to a clearing house. It tracks super your payroll system pays
  • It does not lodge a tax file number declaration with the ATO
  • No SCHADS award interpretation. Rates come from your own pay rates and work types
  • No leave balances, performance reviews or recruitment

Easy HR is in beta, and we switch it on one practice at a time. Hiring, staff records and skills work on any plan. Hours and pay runs also need the staff pay features in the Pro plan.
